12 Spaces Use Cases From My Evernote Account

Hi Reader –

I've gotten a lot of feedback recently that readers are interested in learning more about Evernote Spaces.

And I understand why. Users want organized accounts, and Spaces – which arrived in all accounts earlier this year – present a new option for getting there.

Spaces has created a lot of excitement (and also confusion) about this powerful new organizational layer.

So today, I want to share exactly what I’m using them to organize in my Evernote account. Consider this a list of effective Spaces use cases!

But First, an Important Reality Check…

Spaces aren't a replacement for good notebook-based organization.

I coach that Spaces are an advanced project management tool. If you're struggling with basic Evernote organization, Spaces won't magically solve those challenges. You need to master notebook-based workflows first.

That said, when used strategically, Spaces can transform how you manage large, complex projects. I hope my examples provide some inspiration for how you might use Spaces in your account.

Academy Trainings & Events

This includes everything for my paid membership program — content ideas, feature updates, and presentation materials. It keeps my core business organized in one focused dashboard.

Business Automations

Here’s where I organize systems and processes that keep my business running smoothly. This includes email sequences, workflow documentation, and process improvements.

ECE Activities

My role as an Evernote Certified Expert generates ongoing communication and responsibilities that warrant dedicated organization.

EverDone 2025

The EverDone System is my product where I teach exactly how to use Evernote for GTD®. I revamped the product this year and use this Space to organize the product and its evolution.

Health & Medical Care 2025

Insurance documents, doctor appointments, medical expenses, and fitness goals are all centralized here. Perfect for annual health planning.

Launch Challenge

An upcoming live event I’m creating has countless moving parts — content creation, marketing materials, implementation tools. Everything lives in this project-focused Space.

List Building

All activities related to growing my email subscriber base live here. This is pure business development.

Meta Ads

This is where I keep everything related to recent Facebook and Instagram advertising campaigns, including training materials from a Meta-ads course I took, creative assets, and budget tracking.

Sales Emails

My collection of effective sales email examples and draft sequences for future campaigns are all stored here.

Taxes, Bookkeeping & LLC

This might be my most frequently accessed Space. Every business receipt gets digitized here, alongside legal documents, vendor management, and annual tax preparation processes. It's the cornerstone of my "practically paperless" lifestyle.

Team Mom

My brother and I share this collaborative Space for our mother's care coordination. Her Power of Attorney and emergency information stay pinned at the top for instant access during appointments.

Weekly Newsletter

This is my content production dashboard, where I collect ideas, archive past issues, and maintain standard operating procedures for my subscriber communications.

What Makes These Spaces Effective

What makes these Spaces work is that each one serves a genuine organizational need that spans multiple notebooks and requires frequent access to varied types of information.

Each Space creates a focused work environment and acts as its own digital desk for the projects managed there. When I'm working on Academy content, I enter that Space and everything I need is visually organized and accessible.

When I switch to health management, I have a completely different, but equally organized, workspace.

Other Spaces Use Cases

Spaces can also effectively be used as a storage area for large amounts of like-reference material, or an archive for old data. Although not a personal use case for me, I frequently hear Academy members share this as a way they use Spaces.
